Dear Sara,

Thank you for taking the time to share the College’s goals and the realities of maintaining a highly regulated, content-heavy website without an internal IT department. Your website should make CLPNS’s public-protection role clear, help visitors reach the right information quickly and give your team confidence when important content needs to change.

Our proposal brings the work together in one coordinated project: content inventory, information architecture, interface design, Squarespace development, migration of agreed pages and a searchable document library for up to 300 existing documents.

The new structure will reduce duplication across audience pathways while keeping essential public-protection, licensure, practice and professional-conduct information easy to reach. The completed website will include up to 25 agreed core pages plus a structured News & Articles publishing system, using the College’s existing brand, copywriter-prepared content and supplied photography.

The complete project is offered at a fixed price of $8,400 CAD before GST. The following sections explain the work, responsibilities and investment in detail.

The website will be planned, designed and prepared as one connected experience. This protects valuable URLs, gives the document library a consistent structure and avoids rebuilding repeated content across separate audience paths.

Inventory current pages and documents; review available analytics; identify valuable URLs and redundant content; define the sitemap, navigation, audience shortcuts and priority user journeys in Figma.

02Complete website migration, redesign & articles system+

Custom responsive Squarespace design and development for up to 25 agreed core pages, plus one structured News & Articles publishing system. This includes the News landing page, reusable article layout, category and tag structure, featured-article display, archive navigation and migration of up to 20 existing news posts or articles. CLPNS can publish additional articles after launch using the provided system and training.

03Searchable document library+

Select and configure one compatible third-party solution; define categories, document types, topics and year metadata; add keyword search and practical filters; migrate up to 300 documents; and document the update process.

04News, forms & external services+

Configure the news feed and up to three standard forms. Retain clear pathways to the member portal, public registry and independent-practice registry without rebuilding those external systems.

05Basic SEO & search continuity+

Prepare page-specific meta descriptions, add alternative text to supplied images and configure agreed URL redirects so important existing links continue to work after launch.

The final platform will be selected during discovery after testing the document inventory, desired filters, maintenance workflow and mobile experience. Any recurring third-party subscription is paid directly by CLPNS.

Benefits: strong metadata, attachment and editorial-management tools; a public shared view or interface can be embedded in Squarespace and organized around document types, topics and years.

Limitations: the most polished public interface and embedding options may require a paid Airtable tier; public sharing requires careful privacy review, updates may require visitors to refresh and visual customization is more limited.

Benefits: quick no-code Squarespace installation, inline viewing and downloading for multiple common file types, with files updated through the Elfsight dashboard without replacing the embed code.

Limitations: best suited to a simpler browsable collection rather than an extensive library requiring robust keyword search and faceted filters; subscription, file and branding limits vary by plan.

Sara will coordinate consolidated feedback and approvals from CLPNS’s decision-makers. Client to-dos will include clear due dates, and review tasks should be completed within 2–3 business days to maintain the project timeline.

The exact timing is typically more dependent on the speed of client feedback, document readiness and internal scheduling considerations than it is on our workload. We will remain flexible and adjust the schedule as needed.

Additional articles published by CLPNS after launch do not count toward the core-page allowance.
